Welcome to Ballou Law's Annual Report Resource Center.
For 35 years, Ballou Law has assisted entity clients with the annual reporting process through an annual paper mailing. Beginning with the 2027 annual reporting season, we are transitioning to a streamlined electronic process.
Existing entity clients can now expect to receive an Annual Report email from Ballou Law by mid-October each year. Newly formed entities will receive annual reporting information following formation. Your email will include information, documents, and links specific to your entity.
This Resource Center is available year-round to explain the annual reporting process, answer common questions, and help you understand what to expect each year.
Annual Reporting Process

Step 1: Watch For Our Annual Report Email
Our annual reporting process is now electronic.
Existing entity clients can expect to receive their individualized Annual Report email from Ballou Law by mid-October. The email will include the following:
Business Information Summary Sheet
Annual reporting invoice
Instructions and a link to complete your Annual Reporting Response
The Annual Reporting Response will allow you to confirm that your business information is current or report any necessary changes. You will also be asked to provide current email addresses for individuals who will sign your entity's annual corporate documents electronically.
Newly formed entities will receive annual reporting information following formation.

Step 2: Review and Respond
Review your Business Information Summary Sheet and select the Annual Reporting Response link in your email.
You will be asked to:
Confirm that your information is current or report any changes; and
Provide current email addresses for individuals who will sign your entity's annual corporate documents.
Please complete the form even if you have no changes to report.

Step 3: Pay
Please note that annual reporting fees have changed modestly for 2027. Please refer to the attached invoice for the amount currently due rather than relying on the amount paid in a prior year.
Please pay the amount shown on your attached invoice, preferably by credit card through our secure payment option our website or by calling our office.
Interested in Automatic Payments? Ballou Law now offers an automatic payment option for annual reporting. Please contact our office at 207-363-5300 to enroll.

Step 4: Sign
If you have engaged Ballou Law to prepare your annual report, we will prepare your Annual Meeting Minutes by Written Consent and send it through Adobe Acrobat for electronic signature(s).
Condominium associations and nonprofit corporations should also provide annual meeting minutes, if available. If no annual meeting minutes exist, Ballou Law will prepare an Annual Written consent for e-signature(s).

Step 5: Filing
Once all required annual reporting steps are complete, Ballou Law will prepare and file your annual report if you have engaged us to do so.
Filing Deadlines and Fees
Please complete all required annual reporting steps, including payment and any required signatures, by February 22, 2027.
If required items have not been received by February 22, we will send a reminder and provide a brief grace period. A $50 late processing fee may apply if outstanding requirements are not completed within that grace period.

Annual Report Filing Deadline: June 1
Maine annual reports must be filed with the Maine Secretary of State by June 1 each year.
Maine Secretary of State Filing Fees:
Domestic business entities: $85
Foreign business entities: $150
Domestic and foreign nonprofit corporations: $35
Late filing penalty: $50, in addition to the regular filing fee.
Ballou Law Fees:
Annual Entity Maintenance (includes Ballou Law filing annual report each year and maintaining electronic entity files): $300
Registered Agent Only (Ballou Law does not file the annual report): $150
Late Processing Fee: A $50 late processing fee may apply if Ballou Law hasn’t received required items by February 22, 2027. We will email a reminder and provide a brief grace period.

Annual Report Filing Deadline: April 1
New Hampshire annual reports must be filed with the New Hampshire Secretary of State by April 1 each year.
New Hampshire Secretary of State Filing Fees:
Corporations and LLCs: $100 state filing fee
Online filing: additional $2 electronic handling fee, so $102 total
Late fee: additional $50 after the April 1 deadline
Nonprofit corporations: $25, but NH nonprofits report only in years ending in 0 or 5, rather than annually.
Ballou Law Fees:
Maine entities registered to do business in New Hampshire — Ballou Law as Registered Agent:$50.00 annually for preparation and filing of the New Hampshire annual report and New Hampshire registered agent services.
New Hampshire domestic entities only — New Hampshire Registered Agent Only:$150.00 annually OR Full Registered Agent Services: $300.00 for Annual Entity Maintenance (includes Ballou Law filing annual report each year and maintaining electronic entity files)

Ballou Law may be able to assist with arranging registered agent and annual report filing services in other states on an as-needed basis.
Filing deadlines and requirements vary by state. If your entity is registered to do business in another state and you would like assistance, please contact our office.

If you have engaged Ballou Law to assist with your annual reporting, please respond only to annual reporting email notices sent by Ballou Law.
Please be aware that some private companies send solicitations that closely resemble official annual report notices from a Secretary of State or a law firm. These mailings may be misleading and often offer filing services for an additional fee.
If you receive an annual report notice from another company and are unsure whether it requires action, please contact our office before responding or making payment.
